Updated 16 October 2026. This notice covers this website, project inquiries and related correspondence. Project Print Management LLP is the controller of the personal information described here.
Information we receive
The project inquiry form asks for your name, email, inquiry topic and message. Company and telephone are optional. We also receive information you choose to provide in email or project correspondence. Hosting security logs may contain IP address, time, browser information and requested pages. Please do not submit payment card details, passwords, medical information or confidential files through this public form.
Purposes and legal bases
We use your details to respond to your inquiry, clarify the print brief, prepare a requested quotation, discuss delivery or installation requirements and manage an agreed project and its related invoices and service communications. For an individual asking about their own proposed contract, relevant processing may be necessary to take requested steps before a contract or to perform it. For a representative contacting us on behalf of a business, our legitimate interest is to respond to the business inquiry and manage the relationship, balanced against their rights. We also have legitimate interests in website security and keeping necessary business records, and legal obligations for applicable accounting and legal requirements.
The form checkbox acknowledges this notice and records your request for a reply. It is not consent to marketing and is not the legal basis for every use of inquiry information. Providing an inquiry is voluntary; without the required contact and request information we cannot respond through the form.
Emails we send
We may email you with a response, clarification questions, a requested quote, artwork or proof discussions, agreed project updates, scheduling and delivery information, invoices and support replies. These relate to the service or conversation you requested. Submitting a website form does not subscribe you to marketing. See Service Emails.
Providers and sharing
Our website hosting, WordPress website service providers and email delivery providers process information needed to operate the website and deliver correspondence. Website mail may use the configured Site Mailer service and our business email system. Printing, installation or delivery partners receive relevant project details only where needed for the agreed request. We do not sell inquiry details. Information may be disclosed where required by law or necessary to establish or defend legal rights.
Some provider processing may take place outside the UK. Where a restricted international transfer is involved, the applicable transfer arrangements must be considered, such as adequacy arrangements or approved contractual safeguards. Contact us for information about the providers and arrangements relevant to your inquiry.
How long we keep it
We retain ordinary website inquiries and related correspondence for up to 12 months after the inquiry closes, unless an ongoing dispute or legal obligation requires longer retention. Contract, invoice and accounting records are handled separately for applicable business and legal obligations. The team manages mailbox deletion; this website does not automatically delete emails. Form anti-abuse counters are pruned after approximately one day, and form sessions expire after approximately one hour. Hosting logs follow the hosting provider’s security and operational retention.
Cookies and external services
The inquiry form uses a necessary secure session cookie to protect submissions. Your cookie preference is stored for 180 days. Optional analytics and third-party widgets are withheld unless you choose to allow optional tools. You can change that choice using Cookie settings in the footer. Google Analytics and optional website tools may receive browser and usage information if enabled.
Contact-page Google Maps content is not loaded until you choose Load Google Map. Loading it shares information such as IP address and the requested map with Google. The existing site may also load externally hosted fonts; the font provider receives connection information such as IP address to deliver them. You may email or telephone us without loading a map or enabling optional analytics.
Your rights and choices
Contact justin.murray@projectprintmanagement.co.uk to update contact details or ask about access, correction, erasure, restriction, objection or portability where those rights apply. We may need proportionate information to verify identity. Where processing is based on consent, you can withdraw it without affecting previous lawful processing. A member of our team reviews privacy and support requests. We do not make automated decisions about inquiries that have legal or similarly significant effects.
You may raise a concern with us and may complain to the UK Information Commissioner’s Office. Applicable rights can depend on the circumstances, including legal record-keeping obligations.
Security and changes
We use access controls and protected form handling to reduce risks, but no internet service can guarantee absolute security. This policy may be updated when the site or handling practices change. Material changes will be communicated where appropriate. Our Terms of Business govern agreed commercial work.
